Office Manager

The Office manager is the company’s key function that combines Customer Service-Support Service, and Reception activities.
Your Responsibilities:
- Communication: receiving incoming calls and routing them appropriately to the correct person or department
- Reception tasks: receiving personal visitors, and escort them to the appropriate person or area if necessary
- General office organization: managing appointments, meeting rooms, office supplies and other resources
- Correspondence management: processing and distributing mail and emails; responsible for creating internal memos, notes
- Document management: organizing, archiving, and filing documents, including digital files and physical records
- Coordination of meetings and events: planning and organizing meetings, conferences, and other events
- Maintaining office technology: monitoring and maintaining office equipment such as printers, photocopiers, and telephone systems
- Complaint management: receiving complaints or enquiries from customers or employees and act accordingly by forwarding them to the right department or offering solutions
Your ideal profile:
- You possess vocational Training as Administrative Assistant or similar
- You have acquired previous 2-5 years of professional experience
- You possess excellent planning and coordination skills
- You have good MS Office and Outlook competences
- You are able to demonstrate high customer focus
- You have a warm and friendly personality
- You are fluent in written and spoken English and German, French language skills would represent a plus
