Our Indirect Procurement Department in Kowloon Bay, Hong Kong is looking for a Procurement Assistant 

 

Your Responsibilities:

FIORI Tool:

  • Assist in preparing and implementing the FIORI tool in their location.
  •  Train and assist colleagues in the use of the tool.
  • Follow up on order confirmations and delivery schedules.
  • Provide ad-hoc troubleshooting and escalation management.
  • Perform follow-on tasks like PO changes and GRN submissions.

Vendor Relations:

  • Communicate with suppliers and vendors to obtain quotes, negotiate prices, and manage order statuses.
  • Resolve any issues related to deliveries, such as delays, shortages, or discrepancies.
  • Maintain positive relationships with vendors and suppliers.

Documentation and Record Keeping:

  • Maintain accurate and up-to-date records of purchase orders, invoices, and delivery notes.
  • Assist in preparing reports on purchasing activities, costs, and supplier performance.
  • Ensure compliance with company policies and procedures related to procurement.

Administrative Support:

  • Perform general administrative tasks such as filing, data entry, and maintaining procurement documentation.
  • Assist in preparing presentations, reports, and other documents for the purchasing department.
  • Coordinate and schedule meetings, as needed.

Your ideal profile:

Education:

  • High school diploma or equivalent. Any further education in business, supply chain management, or a related field is a plus.

Experience:

  • Previous experience in a purchasing, procurement, or administrative role is preferred.
  • Some exposure or use of SAP is an advantage.

Skills:

  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Detail-oriented with a high level of accuracy.
  • Ability to work independently and as part of a team.

Other Requirements:

  • A service-oriented and helpful, can-do attitude.
  • Strong problem-solving skills and a proactive attitude.
  • Flexibility to adapt to changing priorities and deadlines.
